Calgary Alternative Support Services (CASS) is a Not-For-Profit Human Service Agency which was founded in 1988. CASS is committed to building diverse and inclusive communities. CASS provides person-centered supports to youth and adults with disabilities or barriers.  We support people to have greater overall well-being through housing, employment, life skills development, community involvement as well as opportunities to develop social networks and engage in valued roles in their communities.

We are currently seeking a part-time Administrative Assistant to join our Human Resources team. This administrative professional will provide department and organizational administrative supports while demonstrating excellent customer service, professionalism and a high degree of confidentiality.

Main responsibilities will include:

  • Creation and maintenance of electronic and hard copy staff files 
  • Appropriate categorization and distribution of all incoming hard copy and electronic documents
  • Regular follow up for any outstanding documentation
  • Collection of incoming training certifications, etc. and maintenance of internal tracking mechanisms
  • Accurate data entry and filing
  • Creation and distribution of internal/external communications, updates and notifications as per appropriate timelines  
  • Creation and maintenance of email and website accounts for all staff; provide troubleshooting support to staff experiencing issues with accounts
  • Provide ongoing tracking and reporting of sub-contractor positions, Commercial Third Party Liability Insurance payments and renewals
  • Participation in meetings and minute taking as required
  • Participation in department/organizational projects as required
  • Provide main desk reception coverage as required (approx. 1-2 hours per week)
  • Other duties as required

 All CASS staff are required to provide a Police Information Check including Vulnerable Sector Check

Required Education:
Administrative Assistant Diploma or equivalent education or experience

Required Training:

Successful applicants will complete mandatory training within 3 months of hire: Emergency First Aid; Non-Violent Crisis Intervention; Health and Safety; Abuse Awareness; Introduction to Your Role; Challenging Behaviours (Part I&II). The majority of these course are offered either online or in-house.

2 years in a fast-paced Administrative Assistant role

Other Required Skills:
Energetic and self-directed with effective time management and organizational skills. Demonstrated ability to deal with competing priorities. Strong problem-solving skills. Excellent communications skills, both verbal and written. Proficient in Microsoft Office Suite. Demonstrate essential desktop troubleshooting skills. Eager to learn new systems and adopt improved best practices.
